THE EXECUTIVE ORGANIZER
Your Daily Planner
The Executive Organizer is a powerful and easy to use Information Manager
that provides all the tools to effectively manage your professional and
personal life. This program was written to run on a single PC, within Windows,
as well as in a Network Environment. It is the easiest software program
available to capture, maintain, and utilize the following aspects of your
professional and personal life.

What You Need
A PC with 640 Ram, a hard disk and DOS 3.3 or higher for the single user
version. If using Windows, Windows 3.0 or higher is required. DOS 3.3 or higher
is also required for the LAN version.
What You Do
1. Boot your computer and access the DOS prompt in the usual manner.
If you downloaded the Executive Organizer from a bulletin board:
a) Make a temporary directory called Temp.
b) Copy the Exorg.zip file to c:\Temp.
c) Use pkunzip (2.04) to unzip the Exorg.zip program.
d) Type "INSTALL" to install the Executive Organizer.
If you received the Executive Organizer on a disk:
a) Put the disk into the A or B drive.
b) Type "INSTALL" to install the Executive Organizer.
If you are going to run this program in Windows. Select the Exorg.pif
file to run the Executive Organizer. We have included an Icon, so don't
forget to select this icon for the Executive Organizer.
2. To Run the Executive Organizer:
a) Change directory by typing "CD\EXORG"
b) Type "EXORG" to start the program.
3. The first time you start the program you will be entering the program in
a NON-REGISTERED MODE. This means that the registration screen will be
displayed. This screen will continued to be displayed at program entry,
until you register the program with Network Solutions.

4. To move past the opening screen you can just select "CONTINUE" to go
into the program in the NON-REGISTERED Mode or you can select "Register",
to enter your Registration Number in the space provided.
5. You can obtain a registration number by calling Network Solutions at
801-255-7385. After paying the purchase price you will be given a
registration number that will discontinue the displaying of this screen.
Use the "Prt Form" selection to print out the registration form. Have the
form completed before calling Network Solutions as they will ask you the
question listed on the registration form.
6. You are encouraged to give the distribution disk or copies of the
distribution disk to others before you have registered it. When you
enter your registration number on the opening screen, you will become
a licensed user of the program. This license authorizes you to use the
program on one machine. You are not authorized to use the program on
more than one machine at the same time. You are not authorized to give
a registered and licensed copy of the software to anyone.

7. Upon entering the program for the first time, you need to tailor the system
for your use.
8. Using the program for the first time. - Initial System Setup
Select the Maintenance Menu option, then select Executive Table.
Type over the default user's (user #1) information with your Name, Company,
first Appointment Time and how often you want your appointments. You may select
how you wish the address table displayed; by Name, Category or Company. You may
protect the executive with a Password and control who has access to the
executive table. You can leave the data files in the default directory or you
may share a directory with your secretary or co-workers. The system supports as
many executives as you wish to add. To add executives, press the [Insert] Key
and repeat the process as stated above. To delete an executive, press the
[Delete] Key.

9. Next Select the Printer Environment Setup
You can select four printers to be used with the Executive Organizer. To select
your default printer (Printer A). Press the [F2] Key to bring up a list of
Available Printers. Press the [Enter] Key to select your default Printer. You
can also select up to three additional printers. Just repeat the process for
printers B, C, and D. When you are completed, press the [Ctrl] Key and the
[Enter] Key at the same time. You will be asked to press the [Enter] Key to
accept this entry.

10. The Daily Planner Screen - The Main Screen
The first thing you should be aware of after entering the Executive
Organizer is that you are presented with Today's Date and a Menu Selection.
As you use the Menu Selection to enter To-Do Tasks or Appointments they
will appear on this screen. If you press the [F2] Key, you can move around
the calendar and enter Daily (To-Do) Tasks or Appointments. You can use the
Up and Down, Left and Right Arrow Keys to move from date to date. You can use
the [PgDn] and [PgUp] Keys to move from month to month. After you find the date
you want, press the [Enter] Key. This Screen is where you will make all your
selections. You'll notice that the top half of the screen containing the Date
and the Menu will always be intact. The bottom half of the screen is the only
area that changes except for when running reports. The Function Keys that are
active are listed at the bottom of each screen.
11. Moving around the Calendar - Setting the Current Entry Date [F2]
The [F2] Key is used to move around the calendar and set the entry date for you.
Pressing the [F2] Key, you will see the word "SET" in the lower right corner of
the calendar. This allows you to move between the various dates on the calendar.
You use the arrow keys to move within the calendar and you use the [PgDn] Key
and the [PgUp] Key to move from month to month. The [F3] Key returns you to
today's date.
12. What are Daily To-Do Tasks and Appointments
A TO-DO TASK is a commitment made to perform a specific activity on or before a
specific day, but not at a specific time.
AN APPOINTMENT is a commitment made to perform a specific activity at a
specific day. An Appointment is the highest form of commitment that you can
exchange with another person.

13. How do I schedule a Daily (To-Do) Task?
Press [D] Daily Tasks from the Menu Selection.
You are presented with a new Daily Tasks lower screen. Press the [Enter] Key to
move the cursor to the "ABC" field. Type "A01" and press the [Tab] or [Enter]
Key. The cursor will move to the "Daily Tasks" field. Type in a description of
the Daily Task. When completed press the [Ctrl] Key and [Enter] key at the same
time. You will be asked to press the [Enter] Key to accept this entry(s). To
add an additional task(s), select [D]aily Task and press the [F9] Key to move
the cursor the to bottom of your tasks. Type "A02" and press the [Tab] Key.
Type in a description of the Daily Task. Press the [Ctrl] Key and the [Enter]
key at the same time. You will be asked to press the [Enter] Key to accept this
entry(s). You can also type "LOC" which stand for 'Location" in the "ABC" field.
In the Description field, type in your location. If you are a traveler, you can
use the "Find Text" Feature to print out the location of your travels. See
"Find Text" to learn more. You can update or edit any of your task by selecting
Daily Tasks. Use the arrow keys to move to the task you want to update or edit
and type the Function key you desire. The function keys are listed below:
F2 Marks the Task Completed. F3 Marks the Task Forward.
F4 Marks the Task Deleted. F5 Marks the Task Delegated.
F6 Marks the Task Open. F7 Display the Name & Address Section.
F8 Display the Daily Journal Section. F9 Moves the Cursor to the Bottom.
[Ctrl-Enter] to Save Your Entries. F10 to Exit The Daily Task Section.

Changing the Priority of the Task(s)
To change the priority of the task(s), select [D]aily Tasks from the Menu. Use
the arrow keys to move the cursor to the task(s) you want to change priority on.
Press the [Tab] Key to move the cursor to the "ABC" Field and type over the
priority. ie: You want to change a "C01" priority to a "A02" priority. After you
press [Ctrl-Enter] Key and the [Enter] key to confirm you selection, the
Executive Organizer will resort the priorities for you.
Daily Tasks are Suggested by Letter and Number.
A01. is CRUCIAL. This means you must work it in sometime during this day. It
is vital to your overall objectives to complete this activity.
A02. is SIGNIFICANT. This means you should work this in if at all possible.
A03. is ELECTIVE. This means you will do this task if you can.
A04. is Optional. This means this is your lowest level of importance.
LOC. shows location for travelers. See "Find Text" to learn more.
14. How do I schedule an Appointment?
Press [A] "Appointments" from the Menu Selection.
You are presented with a new Appointments lower screen. Press the [Enter] Key
to move the cursor to the "Time" field. Use the Arrow Keys to move to the
17:00 (5:00 pm) field for example. Press the [Enter] Key to move the cursor
to the description field. Type in the Appointment. Press [Ctrl-Enter] to
complete the Appointment. Press [Enter] to accept.
You can also use the [F7] Key to bring up the Name & Address Section and the
[F8] Key to bring up the Journals from here.

15. The Daily Journal.
The Journal is used to record your daily events, track a client, track a
project, track phone calls or use to store Telemarketing Scripts. You have
unlimited records here to store as many Journals as you want. The Journal is
available from almost everywhere. You can tell if it is available as you
will see the [F8] Key noted at the bottom of the screen. To access the
Journal, just press the [F8] Key. After pressing the [F8] Key, you select
the category you want to log this Journal. ie: Client, Script, Logcalls, Bill.
You can add as many categories as you want by pressing the [Insert] Key.
After Picking a category, you can time stamp the Journal by using the [F2] Key
while in the description field. The description is used to give you a subject
to track or record in reference to the Journal Category. For example, you could
have a Category named "Bill" and subject(s) for Bill like "Bill's Performance
while in the oval office" or "Marketing Meeting" etc. The description
field is an excellent way to track every detail about this person or category.
What you type in the description field can be found using the "Find Text"
feature described later in this manual.

Text Blocking and Text Moving.
While in the Journal, press the [F7] Key to start marking the text you want to
block. Press the [F7] Key to stop marking. After marking a block, move the
cursor to the new position for the block and press [ALT-M] for Moving or [ALT-C]
for Copying. You can also press [ALT-D] to delete the block. If you make a

16. Name, Address & Phone Numbers.
The Name, Address and Phone Number Section is where you record your contacts,
addresses, and phone numbers. The names, addresses and phone numbers are
sorted by the [F2] Category you select. You can find any Name by just typing
in the first letters of how you have it sorted. The Name and Address section
can be sorted by "Name", "Company" and "Category". Just press the [F2] Key to
change the way you want it sorted.
You can press the [F7] Key to bring up the Notes Window to record important
information about this client. You can also access the Journal by pressing the
[F8] Key from here. See the "Find Text" Feature to learn about how to find
this text later on.
17. Change Executive
The Executive Organizer allows you to maintain multiple executives. If you
choose to use multiple executive, you will be asked to identify which executive
you are, when loading the system from the DOS prompt. You can also select
this section "Change Executive" to change executives without leaving the
program. The directory section within the executives allows you to share data
using the same directory or you can have each executive have their own
directory. The Executive Organizer gives you the flexibility to set up the
program to fit your own needs!
18. Maintenance Menu
The Maintenance Menu is where you maintain your Executives, Printer Setup, and
Look-up Tables. Select the table you want to modify and press the [Enter] Key.
Press the [Insert] Key to Add a record to this table. Press the [Delete] Key
to Delete a record from this table.

19. Find Text String
The Find Text feature is very useful in location information you may have
stored in the Executive Organizer. You can search for text located in the "ABC"
field. If you type "LOC" (short for location) in the "ABC" field and type in
the location of your travels in the description field, you can search and print
the location of your where-abouts for your secretary etc.
You can also search by selection the "Daily Task Description", "Appointments",
"Journals" and "Notes" that are associated with the Name and Address section
of the Executive Organizer.
After selecting your search criteria, select the dates for the search by
pressing the [F2] Key to pop up the calendar. You can use the [F2] Key to pop
up the calendar for both the starting and ending dates. The Executive Organizer
will search through your selected criteria and display your selection to the
screen, printer or allow you to log the information to a disk file.

20. Schedule Entry
The Schedule feature is used in scheduling reoccurring events for your calendar.
For example, if you have a staff meeting every Friday at 4:00pm, you would
"Assign" a "Date Range". Use the [F2] Key to pop up the calendar and select
your dates. Press the [Enter] Key to skip over the "Task Priority/Description"
field and type in the "Appointment Time" and the "Description". The Friday
Day Assignment will already be selected as "Y". Press the [Ctrl] Key and the
[Enter] Key at the same time to complete the assignments.
If you want to assign a "Task Priority/Description". Follow the directions as
noted above but select "Task Priority/Description". Type in the Priority of
the task and the description. Remember you can type in "LOC" the "Task/Priority"
field and the location of your travels in the Description field. This is an
excellent way to assign and show your secretary where you will be during a
specific time period.

21. Expense Entry
The Expense Entry Section is designed to allow you to enter all business
related expenses and categorize them according to what you have in your
category table. Some examples could be "Tax Deductible", "Business Expense",
'Billable" or "Company Paid". You can use the build in Calculator [F8] Key if
you need to add up any receipts. Just press the [F8] Key to move the
accumulated number into the amount field.
22. The Calculator Feature [F3]
The [F3] Key is used to bring up the Calculator. The Calculator is used in
the Expense Section. It can also be accessed from the Main Task / Appointment
Screen. You can call up the Calculator in the dollar amount field of the
expense Section to add up receipts etc. Press the [F8] Key to move the
accumulated number into the amount field of the expense section. You have the
option of setting the decimal place in the Calculator to 2, 3, or 4 places.

23. Time Sheet Entry
The Time Sheet Entry section is designed to track your billable and non-billable
time. An example would be to keep track of the time you spend on a project. The
Executive Organizer keeps track of all this time and will give you a detailed
print-out through the reports menu.

24. Odometer Entry
The Odometer section allows you to keep track of your business and personal
miles. The Executive Organizer keeps track of the mileage by Date, Description,
Starting Miles, and Ending Miles. The Executive Organizer remembers your ending
miles so your starting miles is always correct. The reports section gives you a
detailed print-out of your total miles driven between two dates. It prints-out
how many miles are business and how many miles are personal.
25. Reports Menu
This section print-outs your reports. The Executive Organizer will ask you for
a starting and ending date for the report. What paper size you want the report
printed on and if you want the report to go to the screen, printer or a file.
